Refund Policy

1. Overview
At Spire Digital, we engineer bespoke digital products, tailored brand systems, and high-performance web applications. Because our deliverables represent custom intellectual property, strategy, and dedicated engineering labor, our refund terms reflect the resource-intensive nature of client commissions.
This Refund Policy outlines the conditions under which refunds, project credits, or fee adjustments may be granted.
2. Upfront Deposits & Booking Fees
Initial project deposits and retainer reservations are required to reserve production bandwidth and initiate preliminary architecture, discovery, and creative direction.
Once initial discovery meetings and architectural planning have commenced, upfront deposits are non-refundable. If a project is cancelled prior to any strategic or engineering work taking place, a refund of the deposit minus a 10% administrative processing fee will be issued.
3. Milestone Payments & Deliverables
Projects structured with milestone-based billing (e.g. Discovery, UI/UX Design, Development, Staging, Launch) require client review and sign-off at each phase.
Once a milestone has been approved by the client and the corresponding code or assets delivered, the fee for that completed milestone is final and non-refundable. Any unworked, pre-funded subsequent milestones remain eligible for prorated refund in the event of early termination.
4. Project Cancellation
Either party may terminate a service agreement with 14 days written notice. In the event of client cancellation:
- The client will be billed only for work completed up to the date of cancellation notice.
- All finalized assets and source code developed up to that point will be transferred upon settlement of any outstanding balance.
- Any advance payments exceeding the accrued billable hours or completed milestones will be refunded within 14 business days.
5. Monthly Retainers & Maintenance
Ongoing maintenance, hosting management, and technical support retainers are billed on a recurring monthly cycle.
Monthly retainers may be cancelled at any time prior to the next renewal date. Unused retainer hours do not roll over and are non-refundable once the billing month has started.
6. Dispute Resolution
We pride ourselves on 100% satisfaction through unlimited revision rounds during the designated design phase. If at any point you are dissatisfied with project progress, we encourage immediate direct communication with our Creative Director to adjust scope, team allocation, or timelines.
